01A brief your venue team can work with
Send the agenda, audience size, event-room details, and contact for the hotel or planner. Include the time guests enter, the performance window, and when the space must be cleared. Those details shape the production discussion.
02Choose the audience experience
Live Hawaiian music can welcome delegates; hula can become a dedicated performance; a private lūʻau can anchor the company celebration. Cultural activities and private lessons offer a participatory option in a separate part of the schedule.
03Technical requirements and responsibilities
Discuss sound, microphones, lighting, power, and the performance area. Identify equipment already supplied by the venue and anything the event team is being asked to provide. Specifications belong in the confirmed scope, not in assumptions.
04DMC coordination across your itinerary
If accommodation, guest transport, or vendor coordination is part of the request, share those needs with the entertainment brief. In particular, identify transfers between Waikīkī, Ko Olina, and any other event locations so responsibilities can be agreed in advance.
